How to Optimize Your Google Business Profile: A Step-by-Step Guide

By Rankora Digital · 31 October 2026 · 6 min read

Your Google Business Profile is the listing that appears in Google Maps and in local search results. For many local businesses it is the first thing a customer sees, often before they ever reach your website. A complete and accurate profile is the foundation of local visibility, and most of the work is simple once you know what to fix.

1. Claim and verify your profile

Search for your business name on Google. If a listing already exists, claim it instead of creating a duplicate. Google will ask you to verify that you manage the business, using whichever methods it offers for your listing, such as a phone call, email, postcard or video. Until you are verified, you cannot fully manage the profile.

2. Choose the right categories

Your primary category is one of the strongest signals Google uses to decide which searches your profile can appear for. Pick the most specific category that describes your main business, then add secondary categories only for things you genuinely offer. A dental clinic should choose a dental category, not a generic one like health.

3. Keep your business details accurate

  • Business name: use your real-world name exactly as it appears on your signboard. Adding keywords or locations to the name breaks Google's guidelines and can get a profile suspended.
  • Address and service area: show a physical address only if customers can visit you. If you travel to customers, set a service area instead.
  • Phone number and website: use a number you actually answer and link to the page that best matches the business.
  • Opening hours: keep them current, including holidays and special timings.

4. Write a clear description

You have up to 750 characters. Explain what you do, who you serve and where, in plain language written for customers. Avoid links and spammy promotional text, and put the most important information first, because only the opening lines may be visible at a glance.

5. List your services and products

Add each service or product with a short, honest description. This helps customers understand what you offer and gives Google more context about the searches your profile is relevant for.

6. Add real photos

Upload clear photos of your storefront, interior, team and your actual work. Add your logo and a cover photo. Real photos build trust far better than stock images, and profiles with fresh photos look active and cared for.

7. Post updates regularly

Use Google posts to share offers, events, new arrivals or news. You do not need to post every day. A steady rhythm, such as once or twice a week, keeps the profile looking current.

8. Collect and answer reviews

Ask real customers for feedback after a good experience, and reply to every review, positive or negative. Replying shows future customers that you pay attention. Never buy reviews or offer rewards in exchange for them, which is against Google's policies.

9. Check your performance every month

Your profile shows how people found you and what they did next, such as calling, requesting directions or visiting your website. Review these numbers monthly so you can see which changes are helping and where to improve next.

Common mistakes to avoid

  • Stuffing keywords or locations into the business name.
  • Choosing a vague or wrong primary category.
  • Using a virtual office or shared address that customers cannot visit.
  • Creating duplicate listings for the same business.
  • Ignoring reviews, especially negative ones.

A well-optimized profile works best alongside a website that matches it. Keep your business name, address and phone number identical on both, and make sure your site clearly mentions the areas you serve.
